The Role
The Private Hire Senior Manager is responsible for overseeing all aspects of private events, ensuring seamless execution from inquiry through post-event follow-up. This role provides leadership and oversight of the private hire function, including the day-to-day management and development of the Private Hire Manager. The Senior Manager is responsible for ensuring that all events are executed to the club’s standards, while maintaining strong financial oversight, operational organization, and exceptional member experiences.
The Senior Manager will act as the primary liaison between members, vendors, and internal teams and will oversee the Private Hire Manager’s management of event logistics, communications, and administrative responsibilities. This role requires strong leadership, delegation, organization, financial acumen, and the ability to manage multiple events and priorities simultaneously.
Responsibilities
- Lead, manage, and develop the Private Hire Manager, establishing clear goals, performance expectations, and operating standards.
- Oversee the full private events business, from inquiry and booking through execution, financial reconciliation, and post-event follow-up.
- Own private hire revenue strategy, annual goals, forecasting, pricing, profitability, and overall financial performance.
- Identify opportunities to grow private event revenue, repeat bookings, member engagement, and utilization of event spaces.
- Oversee the quality and consistency of the member experience across all private events, with particular attention to high-profile and complex events.
- Build and maintain strong relationships with members, serving as a senior point of contact for key events and member needs.
- Partner with Membership Experience to leverage private events as a tool for member engagement, retention, and relationship development.
- Establish and maintain operational standards for event planning, presentation, service, staffing, setup, and execution.
- Ensure effective coordination between Private Hire, FOH and BOH operations, Leadership and other internal teams.
- Oversee event planning processes, including BEO meetings, walkthroughs, event calendars, contracts, menus, timelines, and operational requirements.
- Review major and complex events in advance to identify and mitigate operational, financial, and member-experience risks.
- Oversee vendor strategy and relationships, including contracts, pricing, service standards, performance, and preferred vendor partnerships.
- Ensure appropriate financial controls around deposits, payments, expenses, reconciliations, budgets, and event profitability.
- Review monthly private hire reporting and provide leadership with performance insights, forecasts, and recommendations.
- Develop and maintain pricing, packages, minimums, and event policies in partnership with club leadership.
- Monitor member feedback, event performance, and business trends to identify opportunities for continuous improvement.
- Establish processes and best practices that improve efficiency, communication, and consistency across the private hire operation.
- Coach and support the Private Hire Manager in resolving complex member, vendor, and operational challenges.
- Ensure the private hire business consistently reflects the club’s standards for hospitality, service, presentation, and financial performance.
Qualifications
- 5+ years of progressive experience in event management, hospitality, private clubs, luxury hospitality, restaurants, or a related environment.
- 2+ years of management or team leadership experience, preferably overseeing event or hospitality professionals.
- Demonstrated expertise in directing private, corporate, and/or member events, or premium hospitality activations featuring food and beverage services.
- Strong financial acumen, including experience with revenue forecasting, budgets, profitability, contracts, payments, and expense management.
- Demonstrated ability to lead and develop team members while maintaining high operational standards.
- Strong understanding of event sales, service, operations, and guest/member experience.
- Excellent communication, negotiation, and relationship-management skills.
- Highly organized with exceptional attention to detail and the ability to manage competing priorities.
- Ability to remain calm, solutions-oriented, and highly responsive in a fast-paced hospitality environment.
- Strong proficiency with event management, CRM, POS, financial, and productivity systems.
